Preparing a complete workshop job
A clear intake record protects the piece, the client instruction and the workshop decision.
The job reference should connect every physical item, photograph, file and instruction. That makes assessment faster and prevents assumptions when several similar pieces arrive together.
A complete job record establishes identity, condition, scope and exclusions.
The item, its starting condition, the authorised result and any protected details should remain connected under one reference. This allows the workshop to assess the correct piece against the correct instruction.
For batches, consistency matters as much as quantity. Exceptions should be separated from the main run so that one unusual item does not introduce uncertainty across the complete job.
Identify the piece
- Give each item a unique reference.
- Label matched pairs and multi-piece mounts.
- State quantity and metal, including mixed-metal sections.
- Record the starting condition with clear photographs.
Describe the result
- Name the required service and finish.
- Add exact dimensions, sizes or approved text.
- Mark areas that must not be polished, plated, heated or altered.
- State whether the work is one-off or a repeatable batch.
Disclose known risks
- Note loose stones, cracks, worn claws and earlier repairs.
- Identify treated or fragile stones where known.
- Mention time constraints before the quotation, not after work has started.
Common gaps that slow an assessment
- One reference used for several visually similar pieces.
- A requested operation without the result or finish being described.
- CAD files, photographs or stone maps with no matching item reference.
- A required date mentioned only after the quotation has been prepared.
